An event date is not considered reserved solely because TYLERLIGHT has received an inquiry, discussed a project, provided preliminary pricing, or prepared a proposal. Reservation requirements are determined by the applicable written project agreement.

Specific fixtures, equipment, specialty products, personnel, installation times, and production services may be subject to availability, venue restrictions, scheduling, safety requirements, or other project conditions.

Changes to venue conditions, event dates, schedules, guest counts, equipment requirements, installation plans, production scope, labor needs, or requested services may require revised pricing or updated project terms.

Important Booking Notice

DMC & Industry Partner Pricing

Preferred or partner pricing for qualified destination management companies, event planners, venues, agencies, or other industry professionals may be offered at TYLERLIGHT’s discretion and may vary based on project scope, volume, relationship, availability, and other business considerations.

Production Requirements

Services, Venue Conditions & Client Responsibilities

Event lighting and production services depend on timely access, appropriate venue conditions, accurate project information, and coordination among the client, venue, planners, vendors, and production teams involved in the event.

Venue Access & Setup Time

The client or responsible event representative should ensure that TYLERLIGHT receives reasonable access to the venue and work areas at the times required for delivery, installation, focusing, programming, testing, event operation, and removal.

Venue Rules & Approvals

Event services may be subject to venue policies, loading procedures, rigging rules, insurance requirements, fire or safety regulations, noise restrictions, approved installation methods, and other property-specific requirements.

Power, Rigging & Infrastructure

Adequate electrical service, rigging points, structural access, installation areas, loading access, and other required infrastructure may need to be supplied or approved by the venue, client, or other responsible parties.

Accurate Schedules & Information

Clients should provide reasonably accurate event schedules, venue information, production timelines, access details, design requirements, and other information needed to plan and execute the project.

Coordination With Other Vendors

Lighting may depend on coordination with planners, venues, audiovisual providers, entertainers, decorators, rental companies, caterers, staging providers, photographers, and other production partners involved in the event.

Changes to Event Conditions

Changes to timing, venue access, event layout, installation conditions, guest count, production requirements, or other project details may affect equipment needs, labor, scheduling, or pricing.

Outdoor Events & Weather

Safety Comes Before Equipment or Design.

Outdoor lighting and production may be affected by rain, wind, lightning, heat, water exposure, ground conditions, or other environmental factors. TYLERLIGHT may modify, delay, suspend, or discontinue setup or operation when conditions create a safety concern or risk of equipment damage.

Conditions Outside TYLERLIGHT’s Control

Some Production Factors Depend on Third Parties.

TYLERLIGHT is not responsible for circumstances caused solely by venue restrictions, unavailable access, utility interruptions, structural limitations, acts or omissions of other vendors, government restrictions, severe weather, emergencies, or other conditions outside TYLERLIGHT’s reasonable control.

Where practical, TYLERLIGHT may work with the client and event team to identify reasonable alternatives, but modifications may affect the original design, schedule, equipment requirements, or cost.

Client & Event-Team Cooperation

Successful production depends on timely communication and cooperation. Clients and their representatives should promptly communicate material changes, venue requirements, schedule revisions, and other information that could reasonably affect TYLERLIGHT’s work.
